How to Scan an Invoice with Your iPhone

Step by step

  1. Unstaple and separate the pages

    A stapled corner lifts the page off the table and bends the top-right area where the invoice number and date usually sit. Pull the staple before you scan and keep the pages in order face-up in a stack. Re-stapling afterwards takes five seconds; re-scanning a bent header takes longer.

  2. Capture pages in order, front and back

    Photograph page one, then page two, and so on without shuffling — the capture order becomes the page order in the PDF. Check the back of each sheet before moving on, since terms, payment details, and line-item continuations are often printed on the reverse. A missing reverse side is the most common gap in a scanned invoice.

  3. Keep the header and totals fully inside the frame

    Frame a little wider than the paper rather than tight to its edges, so the invoice number, issue date, and grand total are never clipped. Those three fields are what the recipient looks for first, and a clipped total means the whole file comes back. Crop precisely afterwards, where you can see what you are cutting.

  4. Square and rotate each page

    Use Crop & perspective fix to pull the page corners square if you shot slightly from an angle, and Rotate for any page that came in sideways. Landscape line-item tables in a portrait invoice are common, and a page that opens rotated is genuinely annoying to read. Fixing orientation now beats asking the recipient to turn their head.

  5. Run OCR and export one PDF

    OCR makes the invoice text selectable, so the recipient can search inside the PDF for a reference number instead of reading every line. Export all pages as a single PDF rather than separate files — invoices get separated and lost when sent as loose images. Share or AirPrint straight from the export screen.

Should I send an invoice as PDF or JPG?
PDF, in almost every case. It keeps multiple pages together as one file, prints at a predictable size, and is what accounts-payable inboxes expect. Use JPG only when an upload form explicitly asks for an image file.
How do I scan a double-sided invoice?
Capture the front, then flip the sheet and capture the back as the next page, so the PDF reads in the same order as the paper. Do this sheet by sheet rather than scanning all fronts and then all backs, which is where page order goes wrong. Check the page thumbnails before exporting.
Does OCR work on colored letterhead and shaded tables?
Usually, but shaded table rows and reversed-out white text on a dark band are the weakest cases because the contrast between text and background is low. Auto-detect handles Latin script and there are packs for Korean, Chinese (Simplified), and Japanese. Always spot-check recognized amounts against the paper.
Is a phone scan of an invoice acceptable to send?
That is up to whoever receives it, and policies vary by company and by country. A square, fully legible, correctly ordered PDF is what most recipients ask for. If you are unsure, ask the recipient what format and resolution they require before sending.
