Scan the report form as page one
Capture the completed form first so it becomes the cover page of the PDF and the reviewer sees the summary before the evidence. Frame slightly wider than the sheet so any handwritten totals or an approval signature near the edge are included. Square it with Crop & perspective fix if you shot from an angle.

Scan each receipt separately, in listed order
Taping six receipts onto one A4 sheet and photographing the collage is the classic shortcut, and it produces a page where half the slips are unreadable. Capture each receipt as its own page, in the same order they appear on the form, so line item three matches page four. This costs a few extra seconds and removes almost all the back-and-forth.

Handle the thermal slips properly
Most of the pile will be curled thermal paper printed grey on grey. Flatten each one, put it on a dark matte surface so edge detection can find it, and raise contrast after capture rather than adding light. Thermal print keeps fading, so scan the pile sooner rather than at the end of the quarter.

Fix orientation across mixed sizes
An expense pile mixes portrait invoices, landscape hotel folios, and tall narrow taxi slips, and they rarely come out consistently oriented. Use Rotate on any page that lands sideways so the reviewer never has to turn their head. Consistent orientation is a small thing that visibly improves a submitted PDF.

Scroll the page thumbnails and confirm the receipt sequence still matches the form's line items, then export everything as a single PDF. Run OCR first if you want the reviewer to be able to search the file for a merchant name. Share or AirPrint from the export screen.

- Should each receipt be a separate file or all one PDF?
- One PDF is almost always easier to submit and much harder to lose, with the form as page one and receipts in listed order. Some organizations require one file per receipt, so check your employer's submission instructions first. The app can do either; the ordering discipline is what matters.
- Does it total the expenses or categorize them for me?
- No. OCR makes the text on each page selectable so you can copy amounts, but the app does not calculate totals, categorize spending, or export to a spreadsheet or any expense tool. It produces a clean, ordered PDF — the arithmetic stays with you.
- Can I photograph several receipts laid out together?
- You can, but it usually fails review: each receipt ends up small in the frame, and the faintest thermal slip in the group is the one that becomes unreadable. Separate captures give every receipt the full frame and let you tune contrast per page. Group shots are a false economy.
- What if a receipt is already too faded to read?
- Raise contrast and scan it anyway so the record exists, but be honest that post-processing cannot restore print that has faded away entirely. Note the missing detail on the form and ask your approver how they want it handled. Policies on missing or illegible receipts vary by employer.
- Is the expense documentation uploaded anywhere?
- No. Capture and text recognition run on the device using Apple's built-in frameworks, and document images are not sent to a server. There is no account required, and PDF and JPG export are free with no watermark.
